PART A – WEBSITE (task-maker.app)

2. Hosting via IONOS

Our website is hosted by IONOS SE, Elgendorfer Straße 57, 56410 Montabaur, Germany.

The following server log data is automatically collected:

Data collected

  • IP address
  • date and time of request
  • file accessed
  • browser type and version
  • operating system
  • referrer URL
  • hostname of the accessing device
  • amount of data transferred

Purpose

Technical operation, IT security, troubleshooting.

Legal basis

Art. 6 (1) lit. f GDPR (legitimate interests).

Retention

IONOS typically stores logfiles for up to 8 weeks.

3. Cookies and Tracking

No cookies, tracking tools, analytics services, or advertising technologies are used.

PART B – APP (iOS & macOS)

4. Local Processing of Audio Files

Audio files uploaded by the user are processed exclusively on the device.

No audio data is transmitted to the operator, Apple, or any third party.

Local processing generates:

  • audio input data
  • locally generated transcripts (text)
  • technical metadata (filename, duration, size)

Original audio never leaves the device.

5. Transmission of text to OpenAI (with consent)

If you consent during onboarding, the text processed by the app (e.g. from text files or local audio transcripts) is transmitted for analysis to the following service:

No separate manual action is required: after your consent, the transmission happens in the background.

Purpose of processing

  • semantic analysis
  • extraction of tasks, reminders, structured information
  • summaries and classifications

Data transmitted

  • the text generated on the device
  • API-related technical parameters (e.g., model settings)

Not transmitted

  • original audio files
  • device identifiers
  • user profiles

Legal basis

  • Art. 6 (1) lit. b GDPR (performance of contract)
  • Art. 6 (1) lit. a GDPR (consent at onboarding)

International transfer

Data is transferred to the USA.

OpenAI participates in the EU–US Data Privacy Framework (DPF).

Retention at OpenAI

  • no usage for model training
  • technical logs stored for up to 30 days

5a. Image analysis / photo analysis (new in version 1.2)

If you use images in TaskMaker (e.g. photos, screenshots, or scans), processing is local-first whenever possible.

Local processing

  • on-device text recognition (Apple Vision) on iPhone/iPad/Mac
  • tasks are extracted from detected text

Optional transmission to OpenAI

Only if no useful text is detected locally, TaskMaker can—only with separate consent for images—send the image to OpenAI to:

  • attempt OCR (read text) again, and/or
  • derive tasks from the scene context (e.g. “messy desk” → “clean desk”)

If you do not consent in the privacy dialog, TaskMaker will ask again before each image upload.

Data minimization

  • before upload, images are downscaled to a maximum edge length of 2048 px (aspect ratio preserved)
  • no original audio files, device identifiers, or usage profiles are sent to OpenAI

6. No Transfer to Additional Third Parties

No data is shared with other companies.

No tracking, analytics, profiling, or advertising is used in the app.

7. Retention

All data stored by the app remains on the user's device until the user deletes it.

8. User Rights

Users have the following rights:

  • right of access
